Creating a USPS Scan Form


USPS uses a scan form to quickly allow your packages to be processed through a USPS facility. The scan form allows them to update all the shipments added to the manifest with a single scan instead of processing each label, one at a time.

Click the Pickups tab.

If you have multiple shipments with multiple sender address locations, choose the address location you want from the drop-down.

If you have multiple shipments that are international and domestic, choose the carrier from the drop-down. You will need to make a scan form for domestic, and a separate scan form for international.


Select the date range for the shipments you want to select.**You can only create a scan form for shipments with the current day's date and shipments post-dated up to 28 days in the future. (see cutoff times at the bottom of this article for details)

Select the shipments you wish to create a USPS Scan Form for. You can click the box in the header column to check all.

You can also uncheck all and select individual shipments by clicking the box next to each shipment.

Select the option above shipments listed to: “Create Scan Forms & Schedule a Pickup for Selected Shipments” .

With a Pickup

The Schedule Pickup window will open. If you wish to schedule a pickup as well, fill out the pickup info (Package location is required for USPS pickups, for example, "front lobby".) and click “Create Scan Form and Schedule Pickup”. For more details visit: Scheduling a USPS Pickup

Without a Pickup

If you do not wish to schedule a pickup, check the box for “Create a Scan Form without scheduling a Pickup”. You can use this option if you are dropping off your shipments, or if the ship date is in the future and you do not wish to schedule the pickup until 1 day prior to the future ship date.

A window will appear to confirm you want to create a Scan Form for the selected shipments, click "Create Scan Form".

Your new scan form will now appear in the Recent Manifests area.

Select the date to view/print the form.

After printing the form provide it to your local USPS postal worker with your packages upon pickup.

You will also be able to see that a shipment has been added to a particular manifest. On the History/Track screen select the eye icon next to the shipment you want to view.

This will take you to the shipment details page. There it will show the Manifest Date, as well as give an option to see all shipments from that manifest.

Cut Off Times

The cut-off for items to be placed on a SCAN form is 8:50 PM Local time; that is, you should print all items AND all SCAN forms prior to 8:50 PM. Starting at 9:00 PM, all items NOT associated with a SCAN form will be submitted automatically to the USPS and therefore cannot be placed on a SCAN form. However, you can postdate the shipments to the next day so that they can be included on the following day's scan form. Items printed after midnight can be used on SCAN forms for that day (the “following” day)

Examples:

  • You process 5 shipments at 8:30 p.m. Local time, at 8:45 p.m. you go into the pickups tab and all 5 shipments would appear and allow you to print a scan form.

  • You process 5 shipments at 8:30 p.m. Local time, at 9:01 p.m. you go into the pickups tab, and no shipments would appear since they will be submitted automatically to the USPS.

  • You process 5 shipments between 8:50 p.m.-11:59 p.m Local time, you go into the pickups tab and no shipments would appear since they will be submitted automatically to the USPS.

  • You process 5 shipments at 12:01 a.m. Local time, at 8:45 p.m. you go into the pickups tab and all 5 shipments would appear and allow you to print a scan form since it is considered the following day.
